The AI Advantage: How Artificial Intelligence is Transforming RFP Response Processes
Responding to Requests for Proposal (RFPs) is a critical activity for companies across many industries. Winning an RFP can bring in major clients and millions of dollars in much needed revenue. Having personally worked on dozens of RFPs over my career, I can personally attest to what an enormous time and resource-intensive process this is. It requires stakeholders from all across the company to come together and all to often relies on outdated and/or stale content.
Fortunately, recent advances in AI are revolutionizing how companies respond to RFPs—with fantastic results. I’m going to take a look at the traditional RFP process that many companies use today, and then talk about how AI can transform that process to bring major improvements in quality, win rates and even reduce overall cost.
There are a lot of great companies out there today with RFP solutions (responsive, Loopio, Avnio, Qvidian, Proposify to name a few) – and this isn’t an evaluation of any of them. I’m sure they are all adding major AI capabilities to their products – but not everyone uses and RFP solution today and this article is aimed a bit more at them.

I’ve seen far too many initial answers that look something like this:
"Thank you for the opportunity to showcase our industry-leading churn management solutions. By leveraging our robust cloud-based platforms and harnessing big data, we provide actionable insights to optimize customer retention.
Our seamless Salesforce integration empowers stakeholders across your organization with predictive analytics to identify high-risk accounts. This allows your team to get ahead of attrition by triggering proactive nurturing journeys to re-engage customers showing signs of dissatisfaction."
Honestly - that sucks.
Instead, leverage the power of AI to help you write a good response. If you know that your key points are as follows:

Is it a perfect answer? No. I would definitely still tweak it – but it’s orders of magnitude better than the original answer and something I can definitely work from. The nice thing is you can keep re-writing and asking for help, and it will keep doing it again and again until you have something you are really happy with.
If you really want to have fun with it – you could have it re-written as if you need to respond in the style of a dystopian novel:
"In this age of disconnection and isolationism brought on by the Telecom Wars, we regretfully understand why customer loyalty no longer retains meaning. However, at RevTek, we cling to the antiquated notion that every customer has value.
Our predictive churn solution ruthlessly analyzes usage metrics and spatial-temporal data points, leaving no stone unturned. Through our omniscient eyes, deviant customers plotting betrayal will be revealed and forced into rehabilitation.
Our Loyalty Enforcement Platform seamlessly integrates with the Salesforce Ministry Database to monitor citizen whereabouts and activities. At the first sign of wavering commitment, personalized interventions nudge patrons back into the protective fold of RevTek services.
By quashing the human desire for independence, we maintain order and stability. Customers may resent our paternal grip at first, but in time will learn to appreciate the loving bonds of obligatory loyalty we create. Serve us well, and a brighter future may yet emerge from these dark days of isolation and fragmentation."
WRAPPING UP
Responding to RFPs has long relied on manual efforts riddled with inefficiency and resulted in subpar proposals.
